Rekrutek Integrations

In today’s fast-paced and competitive job market, high-volume hiring can be a daunting task for organizations seeking top talent at scale. Rekrutek offers the following types of integrations:

• Partner API (PAPI): we partner with the most efficient tools in recruiting and HR to help you streamline your hiring process. These integrations are pre-built by partners with Rekrutek guidance making them fast to implement.
• Developer API: by utilizing Rekrutek’s webhooks, you can easily send data to other systems and a wide range of API calls that can be used to create, read, update, and delete data via API.
• Enterprise Integration Platform: Rekrutek’s team designs & builds integrations from scratch to integrate with virtually any application with connection capabilities.
• Secure File Transfer Protocol (SFTP): If the third-party system does not have an API to use for the integration, Rekrutek also offers options to send data via SFTP.
• XML Feed: Rekrutek uses an XML Feed to send information about your Rekrutek Openings to sourcing platforms like Indeed.

Partner API (PAPI)

Partner API is built for partners to support all mutual clients. We partner with leading HR tech vendors and service providers to deliver the right hire, faster. If you choose to use a PAPI integration, you can:

• Create webhook redirects from Rekrutek to the partner and then back to Rekrutek
• Use our out-of-the-box Partner stages which allow for multiple package choices in one integration
• Use Rekrutek’s data collection and applicant payload dispersion to partners
• Utilize integrated custom workflow rules via the applicant’s partner status
• Review integrated applicant-specific details via the partner Status Labels

If your existing partner is not currently in the Rekrutek partner roster, the partner can start the process of building to Rekrutek’s Partner API by following the steps below:

1. They will review the Rekrutek Partner’s Developer Hub.
2. Then email partners@rekrutek.ai with the first name, last name, and email address of the signer for the following documents: Mutual NDA, API License Agreement, and Security/Privacy Review including SOC2 or ISO27001.
3. Rekrutek will then email the partner for the next steps.

Developer API

Rekrutek Developer API is built and utilized for individual clients and is built with an API-first strategy to drive seamless integration. Rekrutek offers a REST API that allows you to programmatically manage your applicants, Openings, locations, and positions. You can use our Developer API and webhooks to automate tasks, trigger actions when changes occur, or synchronize your external systems with Rekrutek.

• Authentication: Our Developer API is authenticated via a private API key or Trusted Party API key depending on the API calls being used.

  • Private API Key: To authenticate your API requests, you must pass your API Token in the X-ACCESS-TOKEN request header.
  • Trusted Party API Key: To simplify data import from third-party sources, we offer a Trusted Party API Key. The Trusted Party API Key is only allowed to create applicants. This key can be shared with a trusted third-party service to import applicants into your pipeline with no fear that sensitive data will be exposed.

• Webhooks: Whenever an applicant-related event occurs in Rekrutek, it can be reported via POST https request to your designated payload URL. Webhooks can be configured in Rekrutek by any user with Administrator or Integration permissions and are triggered based on applicants transitioning through specific stages or via background check status updates.

• JSON Format: Applicant data is transmitted in JSON format with the same structure as API v2 and is nested under the applicant key.

Enterprise Integration Platform

Enterprise integrations are built and utilized for individual clients to easily integrate with other systems not currently in the Rekrutek Partner roster. Rekrutek uses a subprocess, Workato to build the integration from scratch.

Workato is an enterprise integration platform that speeds up the time to build and creates better ease of use for Rekrutek to connect with any system. This also makes it possible to scale the integration to accommodate new Openings and locations. Workato includes 1200+ pre-existing connectors, simplifies the automation build, offers on-demand training, and is highly scalable for high-volume data processing and integration management.

Secure File Transfer Protocol (SFTP)

If the third-party system does not have an API to use for the integration, Rekrutek also offers options to send data via SFTP. Secure File Transfer Protocol (SFTP) is a network protocol for securely accessing, transferring, and managing large files and sensitive data.

1. Rekrutek’s custom Analytics offers a scheduled delivery method using SFTP.

   • PDF, CSV zip file, and PNG Visualization are the available format options.
   • Formatting will be controlled by our embedded Looker reporting tool, additional customization would need to be reviewed as part of a Defined or Custom Integration Package to build via Option #2

2. Utilizing Workato as our mapping and embedded integration tool, files can be customized exactly to the HRIS or other 3rd party system formatting requirements, sent on-demand via webhooks, scheduled, and encrypted as needed.

XML Feed

Rekrutek integrates its screening funnels with sourcing vendors (programmatic, job board, etc.) through the use of XML Feeds.

• XML Feeds leverage a preset format to share data with the vendor of your choice so they can easily publish and distribute the job listing. Note: The nodes on these feeds are not dynamically editable, but Rekrutek passes all of the standard values and most vendors will be able to append the feed to fit their specific needs.
• APIs enable data exchange between Rekrutek and vendors, allowing job Openings posted on Rekrutek to be automatically shared with the vendors’ platforms.

As a Rekrutek customer, you have access to enable per-account XML Feeds. These feeds include all active Rekrutek Openings that exist within your Rekrutek account.

Caution

Live Translations XML Feeds

For accounts with Live Translations enabled, Rekrutek automatically translates job descriptions in XML feeds to match the language of the Opening’s Location before syncing to sourcing partners. This ensures that job boards display descriptions in the correct language for the Location without requiring duplicate content authoring. See Rekrutek Live Translations for details on how translation works and how to configure Custom Terminology.

To remove Openings out of the feed, uncheck the sourcing box under Advanced Settings within the Opening Details screen for your Opening. Reach out to support@rekrutek.ai or the Customer Success team for the link to your Rekrutek XML feed.
